Onboarding is a critical component of any business, and when done correctly, it can assist new clients in adapting to the company's culture, beliefs, and work. A positive onboarding experience is important for a new client for you to succeed. Gaining a better understanding of the meaning and phases of onboarding may help enhance your business's efficiency. Today, I will try to provide an answer to the question, "What is onboarding?" I will explore the four onboarding phases and provide tips to improve the virtual onboarding process for remote employees.


What is onboarding?

You may have found yourself wondering, "What is onboarding?" Onboarding is a term used in the human resources industry to describe the process of introducing a newly gained client to your company. This process can help ensure the seamless integration of the new Client with your business. The onboarding process entails a variety of events, from the job description to tasks that are expected. When the onboarding process is complete, clients may feel more confident in their decision by working with you.

Four phases of onboarding

Here's a list of four phases typically involved in onboarding new clients:


1. Pre-onboarding phase

The initial phase of onboarding, referred to as pre-onboarding, begins when a client accepts and agrees to work with you and continues until the Client's first day. This is a critical period for clients, as they are most uncertain about their decision and you. When you adequately inform the Client about your business, they can become more enthusiastic about their decision to start with their outsourcing. You can also assist clients with completing relevant paperwork throughout the pre-onboarding phase.

You might also send them a video or document outlining how you operate and what their first day may entail.


2. Orientation of new Clients

The second onboarding stage is to welcome new Clients and offer them an orientation to assist them with you. They may need to become more familiar with virtual help or its operation. That's why it's essential to provide them with an overview of the routine before they start working with you.


Try to keep the new Client's first day as simple as possible. During the day, assist them in developing a deeper understanding of the remote culture and demonstrate how work practices reflect this culture. Discuss issues such as vacation time, work, and payment policies. Direct them to software and apps in this phase. You can also introduce the new Client to any other workers. Consider arranging a quick meeting with the new Clients after the second phase to ensure they are comfortable and adjusting well.

3. Training for specialized tasks

Training is a critical component of onboarding, as it strongly correlates with new Clients' success in their roles. Without proper training, Clients may be unaware of the conditions necessary for success. A well-written new client training plan can reassure Clients by demonstrating your commitment to their business. As a preliminary step in onboarding, assist clients in becoming acquainted with learning your management system. Try to store all onboarding instructional materials in one place and have them immediately accessible to the Client.


4. Easing the transition to their new role

The last phase assists clients in transitioning from new clients to fully integrated clients. Establish clear expectations for your new Client to help them know their responsibilities. You can create goals that assist new clients in visualizing how your business views success, quality, and productivity. You might conduct a performance review after a month or quarter to honour their accomplishments and to assist them in improving their performance.

The following tips may assist you in developing a superior virtual onboarding experience for remote employees:


Use software tools

You may use software to onboard new clients in a virtual environment. It typically automates all the documentation associated with onboarding, resulting in a seamless and secure experience. New clients can complete and digitally sign the paperwork, eliminating any reason to print or send hard copies. Consider including a welcome greeting and integrate videos and materials that summarize the organization and the work they may be performing. Ensure you have collaboration software for communication, videoconferencing, and screen sharing if new clients require more detailed instructions on completing the paperwork.


Provide the essentials

Remote work typically requires a laptop, smartphone, tablet, and other technological devices. If you use these tools to benefit of the Client, ensure that you send and configure them well before their first day of work.


Educate prospective clients about your business.

Establish an entire orientation session for the Client's first day to help familiarize them with the business. Clients who understand the company's story may feel more committed to their partnership. Try to show how working practices align with the company's overall culture and values. A brief video outlining the company's mission can also be beneficial. This is also an excellent opportunity to brief new clients on the business's policies and operations, such as payment, work hours, holidays, and performance management.


Conduct surveys of new clients.

The most effective strategy to identify areas for improvement in the onboarding program is to ask for feedback and input from new clients. Send a survey to new clients a week after they join, asking what they liked about the onboarding process and what they feel needs improvement. Try to encourage them to be specific with their responses by asking for open-ended details, but keep it brief otherwise. This may help generate more genuine responses.
